Remote verification: what you can check from your desk
What a consultant can verify without travelling, what still needs boots on the floor, and how to split the two so nothing slips through.
Anything that lives in a record can be verified remotely: completeness, readings, corrective actions, certificates and training. Anything that lives on the floor can’t: hygiene, allergen separation, staff practice and the building. Review records from your desk every week or month, and use site visits for what only the floor shows. Remote review works only if the client keeps records somewhere you can see as they’re made.
Desk or site: what goes where
Our suggested split. Your professional judgement and the client’s risk come first.
| Area | Verify remotely | Needs a site visit |
|---|---|---|
| CCPs | Readings complete, within limits, verified and signed | How the check is actually done: probe used, calibrated, read correctly |
| Cleaning | Schedule followed and records complete | Whether surfaces are actually clean, including hard-to-reach areas |
| Allergens | Allergen matrix current, changeover records complete | Physical separation, labelling in storage, changeover in practice |
| Corrective actions | Root cause, owner, due date, evidence uploaded | Whether the fix is actually in place and working |
| Suppliers | Certificates current, specifications signed, approved list up to date | Goods-in checks done as written |
| Training | Records complete and in date | Whether staff can explain their own CCP and what to do if it’s missed |
| Premises | Maintenance and pest control reports filed | Condition of the building, equipment and pest activity |
A weekly 20-minute remote review
Exceptions first
Readings outside limits, missed checks and late entries since your last review. If there are none, move on.
Open corrective actions
Anything overdue, or closed without evidence. Send back what isn’t good enough rather than accepting it.
What expires soon
Supplier certificates, calibration and training due in the next 60 days. A short nudge now saves a finding later.
Note what needs eyes on
Anything the records can’t tell you goes on the list for your next visit. That list is how remote review makes visits shorter and sharper.
Remote verification isn’t a remote audit
Your remote review is part of your client’s verification. A certification audit is different, and the scheme and certification body decide how much of it can be remote. SQF, for example, allows re-certification audits to be partially remote using video and online tools, and BRCGS offers blended audit options. The production inspection is still done on site.
Getting evidence ready for a remote or blended certification audit is covered in remote audit prep.
Where remote review goes wrong
- Records in batches. If a client emails last month’s records, you’re reviewing history. Remote review needs records you can see as they’re made.
- Perfect records, poor floor. Neat, complete records with identical entries can hide a site that isn’t doing the checks. Visits keep records honest.
- Visits that stop. Remote review should shorten visits, not replace them. Agree a minimum visit frequency per client in the engagement letter.
Every client’s records, as they’re made
Clients log their records in EthicalHub on the floor, and the Consultant Dashboard shows you every client on one screen: readiness score, open corrective actions and expiring certificates. You review CAPAs and sign them off from your desk, and save your visits for what only the floor can show. The dashboard is free for consultants; clients subscribe from $69 a month per site.
