For Consultants

Remote audit prep: client evidence before the auditor arrives

How food safety consultants check a client’s evidence from their desk in the weeks before an audit: what to ask for, how to sample like an auditor, and what still needs a site visit.

The short answer

Do two remote evidence reviews: one about six weeks out, to find gaps while there’s time to fix them, and one about two weeks out, to confirm they’re closed. In each review, sample the records the way an auditor will: pick random dates, follow one batch end to end, and check that last audit’s findings are properly closed. Then book a short site visit or a live video walk for what records can’t show you.

The run-up

An eight-week remote prep plan

A planning guide. Start earlier for a first certification audit.

8 weeks out

Confirm the audit details

Standard and version, scope, audit date, whether any part is unannounced, and last year’s report. Last year’s findings are where the auditor usually starts.

6 weeks out

First remote review

Work through the evidence list below. Log every gap as a corrective action with an owner and a due date.

4 weeks out

Close the gaps

The client fixes causes, not just paperwork. You verify each fix remotely as the evidence comes in.

2 weeks out

Second review and a trace test

Re-sample new dates, confirm the corrective actions are closed, and have the client run a traceability test while you watch the clock.

Audit week

Brief and index

A short call to brief the client team, and an evidence index grouped by clause so nobody hunts for records mid-audit.

After the audit

Close findings on time

Help the client respond to every finding before the deadline. A four-week close-out plan.

What to ask for

The remote evidence list

Ask for records from dates you pick, not a bundle the client chooses.

AreaWhat to ask forRed flag
Last audit’s findingsEach finding with its root cause, the action taken and the closing evidenceThe same issue still showing in recent records
CCP monitoringTwo random weeks of records for every CCP, with verification signaturesOut-of-limit readings with no corrective action
Supplier approvalThe approved supplier list and a current certificate for each supplierCertificates expiring before or during the audit
TraceabilityThe latest trace test, with its timing and mass balanceNo test in the last 12 months, or quantities that don’t add up
Allergen controlThe allergen matrix, changeover validation and label checksThe matrix doesn’t match current recipes or labels
Cleaning and verificationCleaning sign-offs and swab or visual verification resultsVerification results with no follow-up
CalibrationCalibration records for thermometers and other measuring equipmentOverdue items still in use
TrainingThe training matrix, including casual and new staffPeople on the floor who aren’t on the matrix
Internal audit and reviewThe internal audit schedule, findings, and management review minutesAudits scheduled but not done
Pest controlContractor reports, trend summaries and actions takenRecurring activity with no recorded action

Think like the auditor

How to sample remotely

  • Pick the dates yourself. Include a weekend, a public holiday and the week the supervisor was on leave.
  • Follow one batch end to end. Goods in, CCP records, cleaning before the run, dispatch. Gaps show up where records hand over.
  • Check signatures and timing. The same hand and the same pen across a whole week can mean the records were back-filled.
  • Read the corrective actions. “Retrained staff” with no root cause won’t satisfy an auditor, so it shouldn’t satisfy you.
Know the limits

What records can’t show you

Plan a short site visit or a live video walk-through for these.

The site’s condition

Damaged walls, gaps where pests can get in, condensation, repairs that were “booked”.

Practices on the floor

Hand washing, glove use, segregation of raw and cooked products, allergen handling during changeovers.

What staff actually know

Can the operator explain the critical limit and what to do if it’s missed? Auditors ask.

Whether the records match reality

Is the thermometer on the form the one actually in use? Is the chiller reading right now in line with the log?

Where EthicalHub fits

Review the evidence without asking for it

When clients keep their records in EthicalHub, you don’t need an evidence request. You open their records for the dates you choose, check corrective actions and supplier certificates from your dashboard, and generate a dated audit pack for any period. See the consultant dashboard.

Questions

Remote audit prep: common questions

How far ahead should a consultant start audit prep?
About eight weeks for a recertification or retailer audit, with a first remote review around six weeks out and a second around two weeks out. Start earlier for a first certification audit.
Can audit prep be done entirely remotely?
Most record checks can be done remotely. The site’s condition, practices on the floor and what staff know still need a short visit or a live video walk-through.
Is remote audit prep the same as a remote audit?
No. Remote prep is the consultant checking evidence before the audit. Some certification schemes allow parts of the audit itself to be done remotely, under their own rules, set by the scheme and certification body.
What records should a consultant check before an audit?
Last audit’s findings and how they were closed, CCP monitoring, supplier certificates, traceability tests, allergen controls, cleaning verification, calibration, training, internal audits and management review, and pest control reports.
